How can you have a site visit with over 300 pulled items, a $2.5 million budget and ZERO findings? The key is technology, organization and documentation.
I have been able to seamlessly prepare a large district for state Title IIA monitoring in a series of 100% electronic folders. The process I used included:
- Strict timeline with processes, positions responsible, dates and requirements
- Specifically numbered folders coinciding with the monitoring team’s visit and look-for documentation
- The ability to have the cursor jump to specific places in handbooks and other documentation so the monitoring team did not need to go through endless pages
- Coordination with other federal programs for a cross-functional visit
- Provision of evidence in easy-to-access and read format
- Title IIA monitoring team lead commented “I would like to use your method of organization and technology as an example for others to follow in the state.”
